1. Integrity policy

  • Halal Quality Control Poland is committed to ensuring the highest standards of Halal certification, in accordance with Islamic dietary laws and international Halal requirements. Our certification process ensures that products and services meet the necessary Halal criteria, promoting trust and confidence among consumers and stakeholders. 
  • The HQC Poland Activities are according to Polish law, ISO 17065, ISO 17021:1-2015, OIC/SMIIC standard 2:2019, BPJPH standard (KMA Decree 748/2021), and Gulf standard 2055:2-2021 to ensure the quality and services we provide for our clients. This is why HQC Poland will always be striving to improve its own quality management. 

At Halal Quality Control Poland, our objective is to deliver reliable, internationally recognized Halal certification services that fully comply with Islamic dietary laws and global standards. We aim to help businesses ensure their products meet Halal requirements, build consumer trust, and uphold the highest levels of integrity, quality, and transparency. 

This policy applies to all products, processes, and services certified by HQC Poland, including food and feeds, beverages, cosmetics, pharmaceuticals, and other relevant sectors. 

  • Compliance with Islamic Laws: HQC Poland strictly adheres to the principles and requirements of Halal as prescribed by Islamic jurisprudence. 
  • Integrity and Transparency: We ensure impartiality, fairness, and transparency in our certification processes. 
  • Scientific and Technical Standards: HQC Poland integrates scientific and technical knowledge with Islamic principles to ensure Halal compliance. 
  • Continuous Improvement: We continually update our procedures to align with evolving Halal standards and industry best practices. 
  • Consumer Trust: We prioritize the needs and expectations of Muslim consumers by ensuring the authenticity of certified products. 
  • Commitment to ISO/IEC 17021: HQC Poland is capable of supporting and demonstrating the consistent achievement of the requirements of ISO/IEC 17021. 
  • Maintain strict compliance with Halal regulations. 
  • Ensure that no cross-contamination with non-Halal substances occurs. 
  • Inform HQC Poland of any changes in ingredients, processes, or suppliers. 
  • Allow HQC Poland to conduct periodic audits and provide necessary documentation. 

The certification body’s top management shall establish and document policies and objectives for its activities. Top management shall provide evidence of its commitment to the development and implementation of the management system in accordance with the requirements of ISO/IEC 17021. The top management shall ensure that the policies are understood, implemented, and maintained at all levels of the certification body’s organization. 

The certification body’s top management shall assign responsibility and authority for: 

  • Ensuring that processes and procedures needed for the management system are established, implemented, and maintained. 
  • Reporting to top management on the performance of the management system and any need for improvement. 

If a certified entity fails to comply with Halal standards, HQC Poland reserves the right to revoke certification. Remedial actions must be taken to regain certification. 

Any concerns regarding certification decisions can be addressed through HQC Poland’s structured complaints and appeals procedure. 

2. Confidentiality & Impartiality

This policy outlines the principles and responsibilities regarding confidentiality and impartiality in all Halal certification activities conducted by HQC Poland. 

This policy applies to all services provided and to all personnel involved in HQC Poland’s Halal certification activities. 

All HQC Poland personnel, including technical experts, auditors, decision-makers, and committee members, are responsible for maintaining confidentiality and impartiality throughout the certification process. 

All documents, communications, and records related to certification—from initial application to final decision—are treated as strictly confidential. This includes: 

Application forms, reports, emails, analysis results, and digital records; 

Information about personnel involved in audits; 

All post-audit records related to certified clients. 

Personnel are granted access to sensitive documents only after signing HQC Poland’s Confidentiality, Independence, and Impartiality Agreement. Breach of these commitments may result in legal and disciplinary action. 

HQC Poland upholds the highest standards of impartiality and independence in its certification services through: 

A clearly defined organizational structure that prevents conflicts of interest; 

Commitment statements by top management affirming impartiality and integrity in all services; 

An appointed Impartiality Committee to monitor, assess, and mitigate risks to impartiality, including identifying conflicts of interest and proposing corrective actions. 

The Impartiality Committee has the authority to report concerns directly to the General Manager and, if necessary, to the Halal accreditation authority, ensuring full transparency and corrective action in case of non-compliance.

3. Non-Discriminatory Policy

HQC Poland provides Halal certification services without discrimination of any kind. All applicants are treated equally, regardless of background, religion, ethnicity, or other personal characteristics, as long as their activities fall within the scope of Halal certification. 

Certification access is not influenced by company size or previous certifications. Decisions are based solely on objective, relevant criteria.
